Portal 11.28.2023 Release Notes

Overview

Our release notes offer brief descriptions of product enhancements and bug fixes. We include links to the current articles for any affected features. Those articles will be updated shortly after the Portal release to include new functionality.

Highlighted Features

Added a Form Template Filter and Region Filters to the Workflow My Queue Section (SB-3418)

In order to help Workflow Users find the Forms they need to review, we added a Form Template Filter and any associated Region Filters to the Workflow > My Queue section. Once the Workflow User selects a Form Template, any of its associated Region Filters will be available as additional filters and the values for those Regions will be displayed in the table. The Workflow User can then sort or filter by those values to find the Forms they need to review.

Added the Ability to Use Form Template Region Filters with Work Orders (SB-3434)

In order to help Work Order Dispatchers view and manage their Work Orders, we added the ability to use Form Template Region Filters to the Admin > Work Orders section. Once the Work Order Dispatcher selects a Form Template, any of its associated Region Filters will be available as additional filters and the values for those Regions will be displayed in the table. The Work Order Dispatcher can then sort or filter by those values to find the Work Orders they need.

Product Enhancements

Added System Setting to the Company Profile to Require Unique Personnel IDs (SB-3430)

Mobile Forms Administrators can now enable a company setting, 'Require Personnel IDs to be Unique', to prevent their Users from having duplicate Personnel IDs. This setting is available in the Company Profile > System Settings tab. Enabling this setting does not retroactively require Personnel IDs to be unique so historical User data may contain duplicates. The setting will be enforced when creating or editing a User with a duplicate Personnel ID after this setting is enabled.

Added the Form Template Name to the Edit E-Mail Template Window (SB-3424)

Mobile Forms Administrators can now view the name of the Form Template when editing a Sent Form E-Mail Template for a specific Form. This was put in place to help Mobile Forms Administrators keep track of which Form E-Mail Template they are currently editing and prevent accidentally editing the wrong E-Mail Template.

Added the Ability to Use Macros in Script Nodes in Custom Workflow Definitions (SB-3412)

Workflow Publishers now have the ability to use the keywords that have been available in E-Mail nodes in Script nodes for Custom Workflows. This allows the following information to be accessed and populated in the Form during Workflow:
  1. creator - User who started the Form
  2. latestAssigned - User or Group that the Form was last assigned during the workflow
  3. latestEditor - User who last made any edits to the Form
  4. latestReviewer - User who last reviewed the Form during the workflow

Minor Enhancements

The Form Recipient Status Report was removed from the Reports Section. (SB-3435)

The Download CSV and Download Excel options for Sent Forms are now available to Companies with the Small Business License Tier in addition to the Enterprise License Tier. (SB-3441)

The Username field on the Create User page was updated to be read-only if the "Require E-Mail Addresses for Usernames" setting is enabled. (SB-3446)


Bug Fixes

Fixed Issue with Mandatory Recipients Being Removed when Editing Users and Recipients (SB-3413)

Mandatory Recipients for any Form Templates previously set up were being removed if their User or Recipient Profiles were edited and the 'Include on Optional Recipient List' setting for a User or Recipient was disabled. 

Fixed an issue with Deleting E-Mail Templates Using the Delete Action in the E-Mail Templates Section (SB-3432)

Mobile Forms Administrators can now delete E-Mail Templates again.

Added Preventative Measures to Skip Undeliverable Mail Rejected by Remote E-Mail Servers in Workflow (SB-3440)

In order to prevent Forms getting stuck in a Workflow error state, we added new mechanisms to skip E-Mail Steps if the e-mail addresses are rejected by remote e-mail servers when sending e-mails in Workflow. The undeliverable e-mails will still get logged but the Workflow will now proceed to the next step.

Fixed Import Devices Error When the Assigned User Was Previously Deleted (SB-3443)

We fixed an error with the Import Devices process in the Admin > Devices section when an Assigned User identified in the CSV import file was previously deleted, and then added back with the same Username. We also fixed the file type for the Import Devices CSV Template file so that browsers will default to download the template file instead of displaying the contents as text.

Fixed the "# of Items to Display" Filter Not Being Honored in Workflow My Queue (SB-3455)

We fixed an issue where all items were being loaded to Workflow My Queue instead of the selected "# of Items to Display".
