Work Orders Bulk Import

Work Orders Bulk Import

Overview

The Enterprise Dispatch Module (EDM) is typically used to dispatch large numbers of Work Orders but in cases where you may want to dispatch a limited group of Work Orders without installing the EDM, you have the ability to Bulk Import a group of Work Orders for dispatching through the Portal as an alternative to creating each Work Order individually.

Note: You will need access to Work Orders (Mobile Forms Administrator or Work Order Dispatcher) in order to access this functionality.

Note: This feature is designed to be used for groups of 100 or less Work Orders. If you need to dispatch a large amount of Work Orders at one time, we recommend using the Enterprise Dispatch Module (EDM).

How to Bulk Import Work Orders for Dispatch

1. Navigate to Admin > Work Orders.

2. Click on the Import Work Orders button.

3. Click on Click here to download the CSV Template for Bulk Work Order Imports.

4. Open the CSV Template file and enter Work Order data as needed.  Priority and Address fields are optional. All region name headers (Page1@RegionName1) are examples only and will need to be replaced with actual region names from your Form. You can use the List Regions option in Forms Designer to get a list of all regions for a specific Form.

5. Save your Bulk Work Order Import file to your local computer.

6. Upload your Bulk Work Order Import file to the Portal using the same window where you downloaded the template (Admin > Work Orders > Bulk Import Work Orders).

      A. (Optional) Choose "Yes" from the drop down to send notification emails to all users for each work order assigned to them. Default is no notification emails.
      B. Choose the Bulk Work Order Import file that you wish to use to dispatch your Work Orders.
      C. Submit.

7. Check the Work Orders page (Admin > Work Orders) to ensure that your Work Orders have been dispatched properly. You can edit and/or reassign Work Orders as needed. Please read the article on Managing your Work Orders for more details.
