Highlighted Features
Removed Create Work Order using Text Fields from the Work Orders Section (SB-3287)
To simplify the process of dispatching a Work Order from the Portal, we removed the original Create Work Order method. The original Create Work Order method displayed only the Form fields without the Form background.
The Form view is now the only method for creating a Work Order from the Portal. The Form View has been available for several years and allows you to prefill the fields on the Form background. The button is renamed from Create Work Order (Form) to simply, Create Work Order.
We added the ability to create Shared Form Work Orders from the Portal as part of the Portal 07.11.2023 release. As part of further building out that feature, you now have the ability to select whether you want to include a recipient. The default option is to include a recipient who will receive an e-mail with the link to access the Shared Form Work Order. If you select "No", the Shared Form Work Order link is still accessible under Admin > Shared Forms. You can copy that link and send it in an email or text as desired. Please keep in mind that Shared Form Work Orders are only available for one time use so if you send that link to multiple people, only one person will be able to submit it.
Added the Ability to Use Regions in the Address when Creating and Editing Standard Work Orders (SB-3298)
You can now use Regions from the Form to populate the address fields when creating or editing Standard Work Orders. This prevents you from having to enter address information twice, in the address fields and in the Form, if address information is part of the Form.
You now have the ability to attach multiple PDFs to a Sent Form or Workflow e-mail using Custom E-Mail Templates. For example, you can have pages 1-2 of your Form in one PDF attachment and page 4 in a separate attachment. This was previously only available through a Custom Workflow. There is a limit of 10 attachments per e-mail.
Product Enhancements
Added Labels for Search and Add New Value to Datasource Region Drop-Downs in Web App and Workflow (SB-3276)
To help differentiate between the two fields, we added labels to the Search and Add a New Value fields in Datasource drop-downs when filling out a Form in Web App or editing a Form in Workflow. The Search and Add a New Value options can be enabled during Form Design.

To simplify the layout of the E-Mail Templates page, we replaced the individual buttons to edit default E-Mail Templates. There is now a single button with a drop-down list which includes all the default E-Mail Templates.
Updated the Features and Products in the Company Profile (SB-3314)
To simplify the Mobile Forms Information tab of the Company Profile, we removed deprecated features and renamed some features to better reflect their purpose. We also reorganized features and products by license tier. The Features & Products Enabled section shows all of the features and products currently enabled for your company. The Features & Products Available section shows all available features and products that are not currently enabled.
If you have any questions about any of these additional products or license tiers, you can click on the E-Mail Your Sales Rep Today! button to contact your account manager. You can also refer to the article on Company Profile for more details on this section of the Field2base Portal.
Added File Size Tracking to the New Download Traffic Report (SB-3263)
You can now view the file size for all resources in the File Size column of the Download Traffic Report in the Portal. The file size for Sent Forms was already being recorded and is now displayed for all Sent Forms. The file sizes for Form Templates, Form Data Files, and Work Orders were not previously recorded so the File Size column will be blank for any of those resources uploaded prior to this Portal release.
Added New Workflow Definition Type Filter to the Workflow Definitions Page (SB-3267)
You can now filter Workflow Definitions by Workflow Type including "Basic", "Custom" or" All". The default filter is "All".
The Professional Services team can now use Workflow E-Mail Templates when generating Shared Form Work Orders in Custom Workflows. A common example of using a Shared Form Work Order in a Custom Workflow is to have a User fill out a Form in the Mobile Forms app then submit it into Workflow . The Workflow then sends a custom e-mail to an external recipient with a link to review and sign a copy of that Form with all the necessary information populated. The new capability to use E-Mail Templates allows for more e-mail formatting options. Another advantage is that Mobile Forms Administrators can now edit those E-Mail Templates without having to engage the Professional Services team.
Updated the Saved Drafts Configurations in the Company Profile (SB-3295)
If you change the "Enable Saved Drafts Section" configuration to "No", Users can no longer save Form Drafts and the Drafts section is no longer available in the Mobile Forms app. Mobile Forms Administrators can set this configuration company-wide or for specific Users. The "Enable Allowing Users to Save Drafts" configuration is no longer needed and was removed.
Please refer to the article,
Custom Configurations, for more information on all available configurations.
Updated the Reports Section (SB-3313)
We cleaned up the Reports section by removing redundant links and reports. The "Reports Home" option in the Reports section of the navigation menu is now named "Other Reports".
Added a New System Setting to Enable the Create and Edit Work Order (Fields) Option (SB-3350)
Hotfix deployed on 8/25/2023
Mobile Forms Administrators can enable a new System Setting called "Enable the Create and Edit Work Order (Fields) Options". If you would like to add the ability to use the Create Work Order (Fields) button and the Edit (Fields) option in the Actions drop-down list for Work Orders section of the Portal, navigate to Admin > Company Profile > System Settings and check the box next to "Enable the Create and Edit Work Order (Fields) Options".
Additional Enhancements
Added Highlighting to the Navigation Menu Subsection (SB-3317)
Updated the Single Sign-On User Creation Process to Handle when a User Becomes a Multi-Company User (SB-1851)
Updated the Sent Forms PDF Merge process for the Merge & Download PDF action with 10 or more Sent Forms in order to increase performance (SB-3344)
Added the Metadata section back to the body of Diagnostic E-Mails generated in the Production Cloud (SB-3358) Hotfix deployed on 8/31/2023
Bug Fixes
Investigation Complete. No definitive cause was identified based on the documentation and scenario that was provided. Due to the inability to recreate the issue and the single instance, no further action will be taken at this time.
Removed Location as a Possible Category for E-Mail Templates (SB-3340)
Location was removed as a category when creating e-mail templates since location e-mails are not available. We also removed Location from the Category filter on the E-Mail Templates page.
Hotfix deployed on 8/25/2023
Documented on 8/25/2023
Investigation complete. There is no issue in the Form View when creating or editing Work Orders. The source of the issue described was that one of the Parameter Regions for a SQL Datasource Region did not have the setting enabled for it to be displayed when creating Work Orders in the Portal so it appeared like none of the SQL Datasource Regions were available. The Fields View does not show drop-down lists for SQL Datasource Regions so the Dispatcher was able to type in values and avoid this Form Template design issue. No further action will be taken.
